// PRACTICAL SCOPE

What can invoice workflow automation handle?

A narrow invoice workflow can read approved rows, validate required fields, generate consistent PDFs, and route incomplete records for review. It can also prepare controlled reminders after approval. The useful boundary is repeatable work with clear inputs, outputs, exceptions, and a person who owns the final decision.

Validate the source

Check invoice numbers, customer fields, dates, amounts, and required references before document generation starts.

Generate approved output

Create branded invoice PDFs from accepted rows and place them in a customer-controlled output folder.

Route exceptions

Keep valid rows moving while incomplete or duplicate records go to a clear review path instead of disappearing.

// COMPATIBILITY

Which invoice files and tools can work?

Vigil starts with the files a business already controls: CSV exports, Excel workbooks, approved PDF layouts, and local folders. Mailbox delivery can be added with a verified business sender and a review step. Direct accounting-platform changes are scoped separately and are never assumed from a sample export.

Common starting points

  • Invoice or job spreadsheets in CSV or Excel.
  • Customer and item exports from an existing system.
  • An approved invoice PDF or document layout.
  • A local Inbox, Output, Archive, and Errors folder.

Not automatic by default

  • No unattended accounting-system writeback.
  • No email send before identity and approval checks.
  • No guessing tax, pricing, or customer terms.
  • No removal of the current manual fallback during acceptance.
// CONTROL

Where does invoice data go?

The production workflow runs on the customer-controlled Windows machine and uses customer-controlled folders. Raw invoice rows, generated PDFs, customer names, and mailbox credentials stay local by default. A discovery handoff can upload only the approved report and redacted findings needed to prepare a scope and quote.
